Appointment Scheduler
We are looking for an Appointment Scheduler to support a busy team in the construction industry. This Contract position is ideal for someone who enjoys speaking with customers, coordinating schedules, and keeping appointment workflows organized in a small office setting. The person in this role will manage incoming calls, confirm customer information, and help ensure appointments are routed efficiently to the appropriate sales representatives.<br><br>Responsibilities:<br>• Answer and manage a steady flow of incoming calls while maintaining a courteous and attentive experience for customers.<br>• Coordinate and book appointments accurately, ensuring all scheduling details are recorded clearly and completely.<br>• Confirm customer address information before finalizing appointments so requests can be directed to the correct sales representative.<br>• Monitor the call and scheduling dashboard throughout the day to keep appointments moving in priority order.<br>• Communicate with customers by phone and email to provide scheduling updates, confirmations, and follow-up information.<br>• Support daily office operations by maintaining organized records and helping keep the scheduling process running smoothly.<br>• Work closely with internal team members to ensure appointments are assigned promptly and handled efficiently.
• At least 1 year of experience in appointment scheduling, medical scheduling, or a similar coordination role.<br>• Strong customer service skills with the ability to communicate clearly and effectively over multiple phone lines.<br>• Experience handling high-volume phone activity while staying organized and attentive to detail.<br>• Comfortable using Microsoft Office and standard office tools to manage schedules and correspondence.<br>• Ability to write clear and detail-focused email communications and follow-up messages.<br>• Capable of working effectively in a small office environment with minimal supervision.<br>• Prior exposure to construction-related scheduling or service coordination is preferred.
