Administrative Assistant
We are looking for an organized Administrative Assistant to support daily office operations for a construction and contractor environment in Macon, Georgia. This Long-term Contract position will provide essential coordination for department leaders and staff by handling documentation, scheduling, records, and front-office administrative tasks. The ideal candidate is detail-oriented, dependable, and comfortable managing sensitive information while keeping multiple priorities on track.<br><br>Responsibilities:<br>• Coordinate administrative activities for leadership and team members, ensuring daily office functions run efficiently and professionally.<br>• Draft, format, and distribute letters, reports, meeting agendas, and other business documents with accuracy and attention to detail.<br>• Organize and maintain tenant, applicant, and program records in alignment with established agency guidelines and documentation standards.<br>• Arrange calendars for appointments, inspections, interviews, and internal meetings while helping stakeholders stay informed of upcoming commitments.<br>• Enter information into databases, update records promptly, and support overall file accuracy through consistent data management practices.<br>• Manage incoming and outgoing mail, monitor office supply levels, and help maintain an orderly and well-supported workspace.<br>• Provide administrative assistance for application intake, recertification activities, and waitlist support as needed across housing-related programs.<br>• Monitor due dates, required forms, and supporting paperwork to help ensure timely completion of program-related administrative processes.<br>• Assist with basic transactional tasks such as purchase order preparation, invoice handling, and other routine office support duties.
• Experience providing administrative support in an office setting.<br>• Strong data entry skills with the ability to maintain accurate electronic and paper records.<br>• Ability to answer inbound calls and deliver courteous front-desk or receptionist support.<br>• Proficiency in preparing business correspondence, reports, and other office documentation.<br>• Strong organizational skills with the ability to manage schedules, deadlines, and multiple priorities.<br>• Ability to handle confidential information with discretion and care.<br>• Comfortable using standard office systems, databases, and general administrative tools.
