Facilities Coordinator
We are looking for a Facilities Coordinator to support daily workplace operations in Los Angeles, California. This is a Contract position focused on keeping facilities activities organized, on schedule, and well documented. The ideal candidate brings strong administrative skills, excellent communication, and the ability to manage multiple priorities while supporting a busy facilities team.<br><br>Responsibilities:<br>• Coordinate purchase request documentation and help track approvals for facilities-related needs.<br>• Create, update, and close maintenance service tickets in Jira to ensure accurate records and timely follow-up.<br>• Arrange recurring service activities, including fire extinguisher checks and preventative maintenance, while maintaining supporting paperwork.<br>• Set up and maintain vendor contact information and related scheduling details within Outlook.<br>• Manage calendars for the Facilities department, organizing appointments, meetings, and service visits.<br>• Record meeting discussions clearly and distribute notes to support action items and follow-through.<br>• Prepare workstations and seating arrangements for new hires, including move planning and desk signage.<br>• Assist with conference room coordination and provide general administrative support for workplace operations.
• Advanced proficiency in Microsoft Outlook, Word, Excel, and related office applications.<br>• Previous experience supporting facilities coordination, office operations, or a similar administrative function.<br>• Strong organizational skills with the ability to handle information from multiple sources effectively.<br>• Clear verbal and written communication skills for working with internal teams and external vendors.<br>• High attention to detail and accuracy when managing schedules, records, and documentation.<br>• Ability to work independently, take initiative, and stay ahead of routine tasks.<br>• Experience managing calendars and coordinating meetings or service appointments.<br>• Familiarity with CMMS platforms, computerized maintenance management processes, conference room support, or timekeeping systems such as Kronos is preferred.
