Bid Coordinator
<p>We are looking for a highly organized Bid Coordinator to join our team in Itasca, Illinois. This contract-to-hire opportunity is ideal for someone who enjoys managing information accurately, supporting proposal activity, and keeping documentation organized in a fast-paced environment. The person in this role will help maintain efficient administrative workflows while ensuring bid-related materials are prepared clearly and submitted on time.</p><p><br></p><p>Responsibilities:</p><ul><li>Receive and analyze Requests for Quotes (RFQ) to identify key requirements and develop a comprehensive bid strategy.</li><li>Be completely knowledgeable and able to execute on the following contracts and tasks: Tailored Logistics Support (TLS) Special Operation Equipment (SOE), TLS Fire and Emergency Services (FESE)and Equipment and Federal/Government agency Requests for Quotes (RFQ). </li><li>Collaborate with teams to gather necessary information for the submission of Requests for Quotes (RFQ).</li><li>Read and extract data from manufacturer quotes for bid submission.</li><li>Submit bids for SOE/FESE utilizing Salesforce.     </li><li>Track progress against bid timelines, identify potential issues, and escalate concerns to relevant stakeholders to meet submission deadlines</li><li>Communicate with Contracting Officials at the Defense Logistics Agency (DLA) on the status of RFQ&#39;s and pricing information requests. </li><li>Monitor the status of submitted bids, analyze win/loss data, and provide feedback to improve future proposals. </li></ul><p>• Coordinate and assemble bid and proposal documents by gathering required information, formatting materials, and checking for completeness before submission.</p><p>• Enter, update, and maintain data accurately across internal files, logs, and tracking systems to support day-to-day bid activity.</p><p>• Communicate with internal teams and external contacts through clear email correspondence to obtain details, confirm deadlines, and share documentation.</p><p>• Organize digital and paper records by filing, scanning, and labeling materials so important information can be retrieved quickly when needed.</p><p>• Use Microsoft Excel and Microsoft Word to prepare reports, update spreadsheets, create documents, and support proposal-related administrative tasks.</p><p><br></p>
<p>• Previous experience in bid coordination, project management, or project coordination is a plus.</p><p>• Knowledge of RFQ (requests for quotes)</p><p>• Strong accuracy and typing skills with the ability to manage large volumes of information with attention to detail.</p><p>• Proficiency with Microsoft Excel and Microsoft Word for document preparation, data tracking, and general office support.</p><p>• Ability to write clear and detail-focused email communications when working with internal teams and external partners.</p><p>• Experience organizing files, scanning documents, and maintaining structured records in both digital and physical formats.</p><p>• Comfortable performing basic calculations and reviewing numerical information for accuracy.</p><p>• Demonstrated customer service skills and the ability to manage multiple tasks in a deadline-driven environment</p>
