Program Assistant
<p>We are looking for a Program Assistant to support a college prep institute through dependable administrative and office coordination in Indianapolis, Indiana. This Long-term Contract position is ideal for someone who can work independently, stay highly organized, and provide strong support in a fast-paced environment. The role focuses on day-to-day clerical operations, accurate record handling, and responsive service for internal and external stakeholders. <strong>This role is primarily Monday - Friday 8am - 4:30pm, however the individual needs to be okay with schedule adjustments for some late night and occasional Saturday's. </strong></p><p><br></p><p>Responsibilities:</p><p>• Manage daily administrative tasks, including organizing records, preparing materials, and maintaining orderly office workflows.</p><p>• Enter, update, and verify information in tracking systems and spreadsheets with a strong focus on accuracy.</p><p>• Scan, file, and retrieve documents to ensure records are complete, accessible, and properly maintained.</p><p>• Provide attentive customer service by responding to routine questions and directing requests to the appropriate contact.</p><p>• Support program activities by coordinating paperwork, assisting with scheduling, and helping staff stay on top of deadlines.</p><p>• Use Microsoft Excel to maintain logs, monitor information, and produce basic reports as needed.</p><p>• Handle clerical assignments such as correspondence preparation, document review, and general office support.</p><p>• Work with limited supervision, take initiative on assigned tasks, and quickly adapt to established procedures.</p>
• Prior experience in administrative, clerical, office support, or program support work.<br>• Strong data entry skills with a consistent record of accuracy and attention to detail.<br>• Proficiency with Microsoft Excel and confidence using standard office software.<br>• Experience scanning, organizing, and maintaining documents in a detail-focused setting.<br>• Effective written and verbal communication skills with a customer-focused approach.<br>• Ability to work independently, manage priorities, and begin contributing with minimal onboarding.<br>• Education should not include a completed Bachelor’s degree; some college coursework is acceptable.<br>• Availability to work Monday through Friday on a regular daytime schedule in business or smart casual attire.
