Executive Assistant
<p>Robert Half is seeking a highly organized, professional, and proactive Executive Assistant to provide high-level administrative support to executive leadership for a client of ours. This individual will serve as a trusted partner to leadership, ensuring efficient daily operations through calendar management, meeting coordination, communication support, document preparation, project tracking, and confidential administrative assistance. The ideal candidate is resourceful, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining a high degree of professionalism and discretion.</p><p><br></p><p>Key Responsibilities:</p><p><br></p><p>Executive Support</p><ul><li>Provide direct administrative support to executive leadership.</li><li>Manage complex calendars, scheduling meetings, appointments, and travel arrangements.</li><li>Screen and prioritize emails, phone calls, and correspondence.</li><li>Prepare agendas, presentations, reports, and executive-level communications.</li><li>Coordinate and support special projects and strategic initiatives.</li></ul><p>Meeting Coordination</p><ul><li>Schedule and organize internal and external meetings.</li><li>Prepare meeting materials, agendas, and supporting documentation.</li><li>Attend meetings as needed, record detailed meeting minutes, and distribute follow-up notes.</li><li>Track action items, deadlines, and project milestones to ensure timely completion.</li></ul><p>Communication & Relationship Management</p><ul><li>Serve as a primary point of contact for internal and external stakeholders.</li><li>Draft professional correspondence, reports, and presentations.</li><li>Facilitate communication between leadership and various departments.</li><li>Maintain positive relationships with clients, vendors, board members, and community partners.</li></ul><p>Administrative & Operational Support</p><ul><li>Manage confidential files, records, and sensitive information.</li><li>Create, update, and maintain policies, procedures, and organizational documents.</li><li>Assist with data collection, reporting, and research projects.</li><li>Process expense reports, invoices, and other administrative documentation.</li><li>Maintain accurate filing systems and document management processes.</li></ul><p>Project & Event Coordination</p><ul><li>Assist with planning leadership meetings, board meetings, and company events.</li><li>Coordinate logistics, attendee communications, and meeting materials.</li><li>Monitor project timelines and provide status updates to leadership.</li></ul>
<p>Required Qualifications</p><ul><li>3+ years of Executive Assistant, Administrative Assistant, or related experience.</li><li>Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).</li><li>Excellent written and verbal communication skills.</li><li>Proven experience managing multiple priorities and deadlines.</li><li>Strong organizational and problem-solving skills.</li><li>Ability to maintain confidentiality and exercise discretion.</li></ul><p>Preferred Qualifications</p><ul><li>Experience supporting C-suite executives or senior leadership.</li><li>Experience preparing meeting minutes and tracking action items.</li><li>Knowledge of project management principles.</li><li>Associate's or Bachelor's degree preferred.</li></ul><p><br></p>
