Administrative Assistant (Design Department)
<p>We are looking for a highly organized Administrative Assistant to support the design department for our client in Compton, in California. This contract opportunity has the potential to become permanent and is ideal for someone who is comfortable managing detailed administrative work, coordinating multiple priorities, and learning specialized approval platforms in a dynamic setting. The person in this role will help keep product submissions, documentation, and cross-functional communication running smoothly while contributing to the department’s ongoing projects and evolving processes.</p><p><br></p><p>Responsibilities:</p><p>• Oversee product approval activity across several online approval platforms, ensuring submissions are entered, updated, and routed correctly.</p><p>• Examine incoming product materials for completeness and accuracy, then monitor status and follow through on approvals in a timely manner.</p><p>• Verify that submissions align with brand, licensing, and compliance standards before advancing them through the review process.</p><p>• Provide day-to-day administrative support to the Design Department, including document handling, data entry, and coordination of team needs.</p><p>• Partner with internal departments and external licensing contacts to communicate updates, resolve issues, and keep projects moving forward.</p><p>• Maintain clear and organized records of approvals, supporting documents, and workflow details for easy access and tracking.</p><p>• Assist with department initiatives by supporting project coordination and recommending more efficient administrative practices as processes develop.</p><p>• Contribute to general office support needs, which may include answering inbound calls and handling receptionist-related tasks when needed.</p>
• Prior experience in an administrative support role such as Administrative Assistant, Design Assistant, Product Development Assistant, Licensing Coordinator, or a similar position is preferred.<br>• Familiarity with licensing, consumer products, entertainment, or product approval environments is strongly preferred.<br>• Demonstrated ability to learn new software tools, online portals, and web-based systems quickly and accurately.<br>• Strong attention to detail with the ability to spot inconsistencies, errors, and missing information before submission.<br>• Ability to manage competing priorities effectively and remain productive in a fast-paced work environment.<br>• Solid organizational, verbal, and written communication skills, along with sound problem-solving ability.<br>• Proficiency with Microsoft Office Suite, data entry tasks, and general administrative office support responsibilities.
