Reconstruction Support Administrator
<p>We are looking for an organized <strong>Reconstruction Support Administrator </strong>to provide day-to-day administrative support for a busy reconstruction team in Delaware. This contract position with permanent potential plays a central role in keeping projects moving from initial approval through final invoicing by coordinating documentation, schedules, communication, and financial tracking. The ideal candidate brings strong office management experience, excellent follow-through, and the ability to work closely with customers, insurance partners, vendors, and internal staff in an onsite environment.</p><p><br></p><p><strong>Responsibilities:</strong></p><p>• Coordinate administrative activities for reconstruction projects from authorization through completion and payment, ensuring records remain accurate and up to date.</p><p>• Maintain project files, track required documentation, and monitor next steps so jobs continue progressing according to established timelines.</p><p>• Schedule appointments, project activities, and follow-up tasks while keeping internal teams and external partners informed of changes or updates.</p><p>• Communicate with customers, insurance representatives, subcontractors, and vendors to support timely project execution and issue resolution.</p><p>• Assist with material purchasing and vendor coordination to help keep jobs supplied and aligned with project needs.</p><p>• Support estimating, billing, budget monitoring, and job cost oversight by preparing information and updating internal systems.</p><p>• Handle general office administration, including reception coverage, office supply management, and routine operational support.</p><p>• Use company software to document project activity, maintain visibility into job status, and support reporting needs.</p>
<p>• At least 3 years of experience in office administration, office management, or project support within a fast-paced business setting.</p><p>• Strong administrative skills with the ability to manage multiple priorities, maintain organized records, and follow tasks through to completion.</p><p>• Experience supporting financial or operational processes such as accounts payable, billing assistance, budget tracking, or job costing.</p><p>• Proficiency with business software systems is required, and familiarity with Cotality is preferred.</p><p>• Ability to communicate professionally with customers, insurance contacts, vendors, subcontractors, and internal team members.</p><p>• Comfortable working onsite in Bear, Delaware on a permanent schedule within the company’s operating hours.</p><p>• Experience handling Front-office responsibilities such as answering phones, greeting visitors, and maintaining office supplies.</p><p>• All candidates are required to undergo screening covering the past 10 years.</p>
