Front Desk Assistant
We are looking for a Front Desk Assistant to support daily front office operations and help create a welcoming experience for residents, guests, and community members in California. This contract-to-permanent position is ideal for someone who is organized, service-focused, and comfortable balancing reception duties with administrative support in a fast-paced environment. The person in this role will assist with scheduling, event coordination, reporting, and general office tasks while maintaining clear communication with visitors, staff, and program participants.<br><br>Responsibilities:<br>• Welcome visitors, provide directions, and respond to general questions with a thorough and helpful approach.<br>• Manage incoming calls through a multi-line phone system, route calls appropriately, and record accurate messages when needed.<br>• Support facility and room scheduling by coordinating setup needs with individuals, community groups, and club representatives.<br>• Assist with planning and coordinating community programs and special events, including social gatherings, performances, and celebrations.<br>• Enter and maintain scheduling information, helping prepare recurring calendars and related administrative records.<br>• Collect program or event fees, issue tickets, and handle basic front desk transactions accurately.<br>• Prepare reports, compile data, and assist with special projects to support departmental operations and planning.<br>• Keep public information areas current by restocking flyers, updating posted notices, and maintaining community boards.<br>• Monitor front desk activity and communicate facility, equipment, or visitor concerns to the appropriate staff or security team.<br>• Provide administrative support to department leadership, including help with marketing materials and routine office documentation.
• At least 2 years of experience in front desk, receptionist, or administrative office support.<br>• Proficiency with multi-line phone systems, inbound call handling, data entry, and general clerical work.<br>• Working knowledge of Microsoft Word and Microsoft Excel, with the ability to create reports and maintain organized records.<br>• Strong verbal and written communication skills, with the ability to interact effectively with a wide range of visitors and community members.<br>• Demonstrated ability to manage multiple priorities, stay composed under pressure, and resolve routine issues professionally.<br>• Comfortable working a flexible schedule that may include daytime, evening, weekend, and holiday hours.<br>• Ability to support event-related operations and work effectively in a high-volume, customer-facing environment.<br>• Valid California driver’s license and current automobile insurance.
