Executive Assistant
<p>Executive Administrative Assistant</p><p>A respected public-sector organization that focused on education, literacy, and community services, is seeking a polished, proactive, and highly organized Executive Administrative Assistant. This is a high-visibility role supporting two senior executives and serving as a trusted partner within the CEO&#39;s Office.</p><p><br></p><p>The ideal candidate is an experienced executive assistant who thrives in a fast-paced environment, anticipates needs before they arise, expertly manages competing priorities, and exercises the highest level of professionalism, discretion, and confidentiality.</p><p><br></p><p><u>Key Responsibilities:</u></p><p>* Provide executive-level administrative support to the COO and Executive Director.</p><p>* Manage complex calendars, scheduling, meeting coordination, and shifting priorities.</p><p>* Serve as a gatekeeper by prioritizing requests, communications, and executive time.</p><p>* Coordinate internal and external meetings, including agendas, logistics, materials, and follow-up.</p><p>* Prepare correspondence, presentations, reports, and other executive-level documents.</p><p>* Track action items, deadlines, and key initiatives to ensure timely completion.</p><p>* Coordinate travel arrangements, expense reporting, and meeting logistics as needed.</p><p>* Liaise with internal departments, City officials, community partners, educational stakeholders, and external vendors.</p><p>* Assist with board, leadership, and committee meeting preparation, including minutes and supporting documentation.</p><p>* Maintain confidential information with sound judgment and professionalism.</p><p>* Identify opportunities to improve administrative processes and increase executive efficiency.</p><p>* Provide project coordination and administrative support for strategic initiatives and special projects.</p><p><br></p>
<p><u>Preferred Experience:</u></p><ul><li>* Supporting executive leadership within education, municipal government, community services, libraries, or nonprofit organizations.</li><li>* Board governance or executive committee support.</li><li>* Event and meeting coordination.</li><li>* Project management and follow-up on strategic initiatives.</li></ul><p>* 5+ years of executive administrative support experience, preferably supporting C-suite or senior leadership.</p><p>* Experience supporting public sector, municipal government, nonprofit, education, higher education, library systems, or community-based organizations strongly preferred.</p><p>* Exceptional calendar management and organizational skills.</p><p>* Ability to manage multiple executives and competing priorities with minimal supervision.</p><p>* Outstanding written and verbal communication skills.</p><p>* High degree of professionalism, diplomacy, and discretion handling confidential information.</p><p>* Strong critical thinking and problem-solving abilities with a proactive, solution-oriented mindset.</p><p>* Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams); experience with virtual meeting platforms and document management systems preferred.</p><p><br></p><ul><li>Executive presence with exceptional interpersonal skills.</li><li>Calm under pressure and adaptable to changing priorities.</li><li>Highly organized with meticulous attention to detail.</li><li>Resourceful, collaborative, and able to anticipate executive needs.</li><li>Committed to supporting an organization dedicated to education, literacy, and community impact.</li></ul><p><br></p><p>This is an excellent opportunity to become a trusted partner to executive leadership while contributing to an organization that positively impacts education and the local community.</p><p><br></p><ul><li>• Demonstrated ability to manage detailed scheduling and navigate multiple calendars with a high degree of accuracy.</li><li>• Strong customer service skills with the ability to remain detail-focused, tactful, and calm in challenging situations.</li><li>• Proven discretion when handling sensitive information and confidential communications.</li><li>• Excellent organizational skills, follow-through, and careful attention to detail.</li><li>• Comfortable asking clarifying questions, prioritizing tasks, and supporting a variety of general office and operations-related activities.</li></ul>
