Executive Assistant
We are looking for an experienced Executive Assistant to provide high-level administrative support to senior executives in a fast-paced IT Software environment. This contract position is based in Toronto, Ontario, and requires excellent organizational skills, attention to detail, and the ability to handle multiple priorities with professionalism. The ideal candidate will be adept at managing schedules, coordinating meetings, and ensuring smooth day-to-day operations.<br><br>Responsibilities:<br>• Manage and maintain executives' calendars, scheduling appointments and meetings while ensuring efficient time management.<br>• Coordinate travel arrangements, including booking flights, accommodations, and transportation, and prepare detailed itineraries.<br>• Handle expense reporting and reimbursement processes with accuracy and timeliness.<br>• Organize and facilitate virtual meetings using Cisco Webex, ensuring seamless connectivity and communication.<br>• Support document management tasks such as photocopying, scanning, and filing to maintain organized records.<br>• Assist with CRM system updates and data entry to support business operations.<br>• Prepare correspondence, reports, and presentations for executive-level review.<br>• Collaborate with internal and external stakeholders to ensure the completion of tasks and projects.<br>• Monitor and track timekeeping systems, such as Kronos, for payroll and attendance purposes.<br>• Provide general administrative support to executives, including handling confidential information with discretion.
• Proven experience as an Executive Assistant or similar role, preferably supporting C-suite executives.<br>• Proficiency in tools such as Cisco Webex Meetings, Concur, and CRM systems.<br>• Strong organizational skills with the ability to manage multiple priorities effectively.<br>• Familiarity with Kronos Timekeeping System and ADP for payroll and attendance tracking.<br>• Excellent communication skills, both written and verbal, to interact professionally with stakeholders.<br>• Attention to detail and accuracy in preparing documents and reports.<br>• Ability to maintain confidentiality and handle sensitive information responsibly.<br>• Experience with calendar management, travel coordination, and expense reporting.
