Executive Assistant
We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to the company executives. This role is ideal for a detail-oriented detail oriented who thrives in a dynamic environment and enjoys managing multiple priorities with efficiency, discretion, and professionalism. <br> Working closely with the Operations leadership team, you will play a key role in ensuring operational excellence across departments—coordinating administrative functions, supporting strategic initiatives, and fostering communication and collaboration. <br> Key Responsibilities Provide high-level administrative and executive support to the COO and Operations VPs, managing calendars, correspondence, meeting coordination, and task tracking. Serve as a primary point of contact for inquiries directed to the COO; draft responses and delegate communications as appropriate. Coordinate and prepare meeting materials, briefing notes, and presentations to ensure meetings are efficient and outcomes are actionable. Prepare and manage Human Resources and Compensation Committee (HRCC) materials including agendas, meeting packages, draft minutes, and correspondence between the VP, Talent & Culture, HRCC Chair, and COO. Support coordination of Operations Team and Operations Leadership meetings—developing agendas, scheduling, and managing logistics. Act as the technical lead for Town Halls, including scheduling, setup, and on-the-day coordination. Support internal Operations projects, tracking progress, timelines, and deliverables to ensure completion within deadlines. Prepare detail oriented documents, presentations, reports, and correspondence with a high level of accuracy and attention to detail. Manage travel arrangements and prepare expense reports for the COO and VPs. Partner with Executive Assistants across business units to streamline processes, share best practices, and promote alignment. Collaborate on planning and execution of organization-wide staff events, such as Summer and Winter gatherings, in partnership with the Talent & Culture team.
Post-secondary education combined with several years of related administrative or executive support experience in a corporate or detail oriented environment. Proven ability to manage complex calendars, competing priorities, and confidential information with discretion. Exceptional written communication skills, including experience drafting correspondence, reports, and presentations. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (Teams, Zoom, etc.). Demonstrated project management abilities with excellent organizational and time-management skills. Experience preparing presentations and materials that synthesize financial and non-financial data for diverse audiences. detail oriented, collaborative, and adaptable—able to work effectively with senior leadership and cross-functional teams.
