Client Care Coordinator
We are looking for a Client Care Coordinator to support a busy healthcare setting in Ontario on a contract basis. This position is well suited to someone who enjoys helping people, stays organized under pressure, and can balance patient service with administrative tasks. The successful candidate will play an important role in creating a welcoming experience for patients while helping the clinic operate efficiently each day.<br><br>Responsibilities:<br>• Welcome patients and visitors warmly, creating a detail-oriented and supportive first impression at the front desk.<br>• Coordinate patient movement by directing individuals to the appropriate care providers and helping maintain an efficient daily workflow.<br>• Collect, confirm, and update patient details with a high degree of accuracy in clinic systems and records.<br>• Arrange appointments, adjust schedules as needed, and manage bookings to support smooth operations.<br>• Maintain both digital and physical documentation, including filing, retrieving, and preparing records when required.<br>• Support billing-related administrative tasks, working with internal resources and following established procedures.<br>• Reach out to prospective contacts from provided lists to promote services and assist with client engagement activities.<br>• Complete routine housekeeping duties such as disinfecting common surfaces and helping keep the clinic environment tidy and presentable.<br>• Provide day-to-day administrative assistance to team members as operational needs arise.
• Demonstrated strength in customer service and the ability to communicate professionally with patients, families, and staff.<br>• Strong organizational skills with the ability to manage competing priorities and maintain attention to detail.<br>• Comfortable working in a fast-paced environment and adjusting quickly to changing daily demands.<br>• Previous experience in a client-facing or service-oriented position; backgrounds in retail, hospitality, or healthcare support are considered an asset.<br>• Ability to manage appointment scheduling, phone coverage, and general front-office coordination effectively.<br>• Familiarity with record maintenance, file management practices, and administrative documentation.<br>• Exposure to medical billing, insurance processes, or healthcare coverage coordination is beneficial.<br>• A practical, solutions-focused approach and the ability to contribute positively to an efficient office environment.
