  • We are looking for an experienced Executive Assistant to support senior municipal leadership through a contract assignment. This position plays a central role in keeping executive operations organized, responsive, and aligned with the needs of city leadership, staff, partner agencies, and the public. The ideal candidate brings strong communication skills, sound judgment, and the ability to manage confidential matters while coordinating a wide range of administrative priorities.<br><br>Responsibilities:<br>• Provide high-level administrative support to the City Manager, Deputy City Manager, and City Council while helping maintain efficient daily office operations.<br>• Manage complex calendars, schedule meetings and events, and coordinate logistics with internal departments, community members, and external organizations.<br>• Arrange business travel and related itineraries, ensuring plans are accurate, timely, and aligned with executive schedules.<br>• Review, route, and prepare correspondence, including drafting responses and ensuring communications are handled with care and confidentiality.<br>• Support financial administration for the City Manager&#39;s Office and City Council by processing invoices, tracking expenses, reconciling purchases, and maintaining organized records.<br>• Prepare materials for meetings, retreats, conferences, and other official activities by researching details and coordinating all necessary arrangements.<br>• Develop agendas and help manage the planning process for City Council meetings to keep items organized and on schedule.<br>• Respond to public and departmental inquiries, address sensitive concerns with care, and direct issues to the appropriate staff when needed.<br>• Maintain and improve office filing and records systems to ensure information is accurate, accessible, and properly managed.<br>• Provide oversight for assigned administrative staff, including involvement in hiring, training, performance support, and ongoing development.
