Executive Assistant
<p><strong>Key Responsibilities</strong></p><p><strong>Executive Support</strong></p><ul><li>Manage complex calendars, scheduling, and daily coordination for executive leadership.</li><li>Handle meeting preparation, agendas, and follow‑ups to ensure smooth execution.</li><li>Coordinate domestic and international travel, including itineraries and logistics.</li><li>Prepare presentations, documents, and correspondence with a high level of accuracy and professionalism.</li><li>Manage expenses, invoices, and reimbursements with timely and detailed follow‑through.</li></ul><p><strong>Operations & Communication</strong></p><ul><li>Serve as a primary point of contact between executives, internal teams, and external partners.</li><li>Maintain confidentiality while managing sensitive information and executive‑level communications.</li><li>Anticipate needs, identify gaps, and proactively resolve issues before they arise.</li><li>Support company culture by assisting with events, team activities, and internal communications as needed.</li></ul><p><strong>Office & Workflow Management</strong></p><ul><li>Coordinate onsite needs, including meeting space, technology, vendors, and hospitality.</li><li>Manage special projects and operational initiatives as assigned by leadership.</li><li>Ensure seamless day‑to‑day onsite support in a fast‑moving environment.</li></ul><p><br></p>
<p><strong>Qualifications</strong></p><ul><li>3+ years of Executive Assistant or senior administrative support experience, preferably supporting C‑suite or senior executives.</li><li>Strong organizational skills with the ability to multitask, prioritize, and pivot quickly.</li><li>Excellent written and verbal communication skills.</li><li>High level of professionalism, discretion, and emotional intelligence.</li><li>Proficiency in Microsoft Office, Google Workspace, and modern workplace tools.</li><li>Ability to work <strong>onsite Monday–Friday in Woodside, CA</strong>.</li></ul><p><br></p>
