Facilities Coordinator
<p>We are looking for a detail-oriented individual to support laboratory relocation and vendor coordination activities at an in-person client site in Spring, TX. This Long-term Contract position is ideal for someone who thrives in a fast-moving environment, communicates clearly with multiple stakeholders, and can keep project activities organized from day to day. The person in this role will help track progress, support field activity readiness, and maintain accurate documentation while promoting safe work practices across the site.</p><p><br></p><p>Responsibilities:</p><p>• Partner with site personnel to keep asset records accurate and up to date throughout laboratory relocation activities.</p><p>• Coordinate vendor appointments on site and help ensure each visit is scheduled, supported, and completed efficiently.</p><p>• Gather, organize, and maintain documentation generated after vendor field work to support project records and follow-up actions.</p><p>• Track daily milestones, identify emerging scheduling risks, and prepare for upcoming tasks to keep work moving on time.</p><p>• Confirm that equipment, work areas, and required materials are ready before vendors begin their assigned activities.</p><p>• Provide timely status updates to stakeholders and help align expectations across the project team and external partners.</p><p>• Use tools such as Smartsheet, Excel, and other Microsoft Office applications to monitor tasks, timelines, and dependencies.</p><p>• Contribute to process improvement efforts by reviewing completed vendor visits with the team and applying lessons learned to future work.</p><p>• Promote a safety-focused work environment by verifying compliance with PPE requirements and site safety procedures during all on-site activities.</p>
• High school diploma required; a bachelor’s degree is preferred.<br>• 1-2 years of experience in coordination, customer service, project support, or a related environment.<br>• Working knowledge of laboratory settings and familiarity with common lab equipment is preferred, though direct hands-on equipment experience is not required.<br>• Ability to work independently, manage shifting priorities, and respond effectively in a fast-paced setting.<br>• Strong written and verbal communication skills, including email correspondence and participation in conference calls.<br>• Intermediate proficiency with Microsoft Office applications, especially Excel and Outlook; experience with Smartsheet is a plus.<br>• Comfortable working on site in a laboratory environment while following health, safety, and environmental guidelines.<br>• Experience collaborating with cross-functional teams and outside vendors is beneficial.
