Executive Assistant
We are looking for a highly organized Executive Assistant to support a commercial real estate development team in California. This contract position will play a central role in keeping daily administrative activities on track, ensuring executives and staff receive dependable coordination across schedules, communications, and office operations. The ideal candidate brings a proactive approach and is comfortable handling a mix of executive support, office management, and routine financial administration in a fast-paced onsite environment.<br><br>Responsibilities:<br>• Support executives and team members with daily administrative coordination, ensuring priorities, communications, and deliverables stay organized.<br>• Oversee calendars, schedule internal and external meetings, arrange appointments, and manage shared conference room usage.<br>• Maintain smooth office operations by keeping the workspace orderly, well-maintained, and equipped for day-to-day business needs.<br>• Draft, format, and revise business correspondence, presentations, reports, and other documents with accuracy and attention to detail.<br>• Coordinate meeting logistics, track follow-up items, and help move action items forward across the team.<br>• Assist with invoice processing, bill-related documentation, and administrative workflows to help maintain timely financial coordination.<br>• Monitor invoice records and provide coordination support using internal organizational systems and related tools.<br>• Handle expense-related administrative tasks and provide general support using Microsoft Office applications.<br>• Manage supply inventory for office and kitchen areas, placing orders as needed to keep the workplace fully stocked.<br>• Perform filing, scanning, data entry, and document management while providing additional administrative assistance as business needs arise.
• Previous experience in an Executive Assistant, Office Manager, or comparable administrative support role.<br>• Strong ability to organize competing tasks, manage deadlines, and maintain accuracy across multiple priorities.<br>• Detail-focused demeanor with a dependable, service-focused approach to supporting executives and teams.<br>• Clear written and verbal communication skills with the ability to interact effectively across the organization.<br>• Confidence working in a fast-moving, onsite office setting with changing priorities.<br>• Proficiency with Microsoft Office, including tools used for scheduling, documentation, and administrative reporting.<br>• Experience with invoice coordination or related administrative financial processes; familiarity with relevant internal systems is preferred.<br>• Background supporting commercial real estate, development, property management, or specialized services teams is an advantage.
