Program Coordinator
<p>We are looking for a detail-oriented Program Coordinator to support Inbox Management, tracking, and communication activities for a public sector environment in Indianapolis, Indiana. This Long-term Contract position will serve as a central point for managing inquiries, documenting reported problems, and ensuring timely follow-up with the appropriate internal teams. The ideal candidate will excel at managing high-volume communications, maintaining accurate tracking logs, coordinating with internal stakeholders, and ensuring all requests are addressed in a timely manner. This role is best suited for someone who thrives in a fast-paced environment and enjoys bringing organization and structure to complex processes. This is a 3–6-month contract opportunity, Monday-Friday, 8am-5pm, located in downtown, Indianapolis, parking provided. </p><p><br></p><p>Responsibilities:</p><p>• Monitor and organize a shared inbox, reviewing incoming questions, complaints, and system-related concerns to ensure each item is routed appropriately.</p><p>• Respond to straightforward inquiries and provide timely updates to users while escalating more complex matters to the relevant internal contacts.</p><p>• Record reported errors, access problems, data discrepancies, and other system issues in tracking tools such as Excel, SharePoint, or a ticket management platform.</p><p>• Maintain accurate status updates for open items and oversee each case through resolution, ensuring documentation remains current.</p><p>• Coordinate follow-up with internal teams to gather progress updates and communicate next steps or resolutions back to users.</p><p>• Document completed resolutions, preserve clear records of issue history, and maintain supporting process and procedure materials.</p><p>• Prepare status summaries and reporting that highlight workload, issue progress, and recurring problem areas.</p><p>• Analyze patterns in reported concerns to identify trends and support continuous improvement efforts.</p>
<p><br></p><p>• Experience tracking service issues, incidents, or operational requests in spreadsheets, databases, or ticketing systems.</p><p>• Proficiency with Microsoft Excel and other recordkeeping tools used for data entry, status tracking, and reporting.</p><p>• Strong written communication skills with the ability to manage email correspondence clearly and professionally.</p><p>• Demonstrated ability to maintain organized logs, records, and documentation with a high level of accuracy.</p><p>• Ability to coordinate follow-up across multiple stakeholders and keep open items moving toward completion.</p><p>• Experience preparing reports and summarizing trends, recurring issues, or program activity for internal review.</p><p>• Strong attention to detail and the ability to manage multiple priorities in an administrative support or coordination role.</p>
