Executive Assistant
We are looking for a skilled Executive Assistant to provide comprehensive support to the Dean of the School of Education at a prestigious university in Baltimore, Maryland. This long-term contract position requires someone with strong attention to detail, excellent organizational skills, and the ability to manage complex schedules and travel arrangements. The ideal candidate will thrive in a fast-paced environment and ensure seamless administrative operations.<br><br>Responsibilities:<br>• Manage and coordinate the Dean's calendar, ensuring all meetings and appointments are scheduled efficiently.<br>• Arrange domestic and international travel, including transportation and accommodations, with attention to detail.<br>• Prepare and submit expense reports using Concur, ensuring accuracy and timeliness.<br>• Provide administrative support for executive meetings, including agenda preparation and meeting notes.<br>• Serve as the primary point of contact for communication, handling inquiries and correspondence with professionalism.<br>• Maintain and organize confidential records and documents.<br>• Assist in planning and executing special projects and events as needed.<br>• Utilize Microsoft Outlook to manage email communications and scheduling effectively.<br>• Develop and maintain positive relationships with university staff and external stakeholders.<br>• Ensure all tasks and projects are completed with a high level of accuracy and professionalism.
• Minimum of 5 years of experience supporting C-level executives in a similar role.<br>• Proficiency in Microsoft Outlook for calendar management and email coordination.<br>• Strong organizational skills with the ability to prioritize tasks effectively.<br>• Excellent written and verbal communication skills.<br>• Experience with travel booking and expense reporting systems, such as Concur.<br>• Ability to maintain confidentiality and handle sensitive information with discretion.<br>• Exceptional attention to detail and problem-solving abilities.<br>• Strong attention to detail and ability to interact effectively with diverse groups and individuals.
