We are looking for an experienced Executive Assistant to provide high-level support to leadership in San Antonio, Texas. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will serve as a key liaison to the Board of Directors while ensuring seamless coordination of meetings, calendars, and administrative tasks.<br><br>Responsibilities:<br>• Serve as the first point of contact for leadership, ensuring attentive and positive interactions with external inquiries.<br>• Coordinate and manage requests and meetings related to the Board of Directors.<br>• Assist in developing agendas and presentations for Board of Directors meetings.<br>• Prepare, distribute, and maintain detailed minutes for Board of Directors meetings.<br>• Manage executive calendars, including scheduling appointments and resolving conflicts.<br>• Handle credit card reconciliations, timesheet entries, and expense report submissions for designated leaders.<br>• Organize and oversee internal and external meetings, including scheduling, reminders, and catering arrangements.<br>• Format presentations and disseminate relevant materials for internal meetings.<br>• Maintain confidential records in databases and external documents.<br>• Establish and manage both paper and electronic filing systems to ensure accurate record-keeping.
<p>The Senior Executive Assistant provides high‑level administrative, operational, and strategic support to the Chief Executive Officer and executive leadership team. This role serves as a primary point of contact for internal and external stakeholders, oversees executive‑level communications, and manages critical organizational priorities with discretion and sound judgment.</p><p><br></p><ul><li>Serve as the primary administrative and strategic point of contact for the CEO and executive leadership team.</li><li>Represent executive leadership in external interactions with professionalism and poise.</li><li>Proactively manage executive calendars, including complex scheduling, prioritization, and coordination across multiple stakeholders.</li><li>Prepare, review, and edit executive‑level correspondence, presentations, and briefings.</li><li>Anticipate information and workflow needs to keep executive leadership informed and prepared.</li><li>Oversee preparation and submission of expense reports, timesheets, and credit card reconciliations for designated leaders.</li><li>Lead planning and execution of internal and external meetings and events, including scheduling, reminders, conference room setup, catering, and technology coordination.</li><li>Support data entry, reporting, and document preparation to meet operational and leadership needs.</li><li>Maintain and organize confidential records, databases, and filing systems (both electronic and paper).</li><li>Assist with formatting and enhancing presentations for executive meetings.</li><li>Partner with internal teams to ensure leadership initiatives and priorities are supported and executed effectively.</li><li>Assist with special projects requiring research, organization, and coordination across departments.</li><li>Provide a consistent, high‑quality point of contact ensuring seamless communication between executives, staff, Board members, and external partners.</li></ul>
