Payroll Administrator
<p>We are looking for a Payroll Administrator to join our team in Waterloo, Ontario on a Contract basis. This role supports payroll operations for a large employee population and works closely with internal partners to ensure pay is processed accurately, on schedule, and in compliance with company requirements. The successful candidate will bring strong customer service skills, solid payroll knowledge, and the ability to manage detailed information in a fast-paced environment.</p><p><br></p><p>Responsibilities:</p><p>• Process bi-weekly payroll for a broad workforce that includes salaried, hourly, and unionized employees.</p><p>• Review payroll records and audit reports to confirm earnings, deductions, and payments are accurate before final processing.</p><p>• Reconcile payroll information and export system data into Excel to analyze discrepancies using tools such as PivotTables and VLOOKUP.</p><p>• Update employee payroll details, including banking changes, and calculate items such as vacation payouts when required.</p><p>• Prepare payroll-related reports covering deductions, garnishments, vacation balances, insurance adjustments, and other remittance information.</p><p>• Work collaboratively with Human Resources and other departments to keep employee payroll records current and properly documented.</p><p>• Assist employees with payroll documentation, including records of employment, tax forms, and other required paperwork.</p><p>• Respond to questions from employees, external contacts, and government agencies with professionalism and timely follow-up.</p><p>• Contribute to continuous improvement efforts by identifying payroll issues and supporting more efficient administrative processes.</p>
• Minimum of 3 years of payroll experience, including processing payroll for an organization with more than 500 employees.<br>• Hands-on experience supporting union payroll in a high-volume environment.<br>• Intermediate to advanced Microsoft Excel skills, including practical use of PivotTables and VLOOKUP.<br>• Strong communication and customer service abilities, with confidence handling employee and external inquiries.<br>• Proven accuracy when working with payroll data, reports, and reconciliations.<br>• Excellent organizational skills with the ability to manage competing priorities and meet strict deadlines.<br>• High attention to detail and sound judgement when handling confidential payroll information.
