Receptionist
We are looking for a welcoming and highly organized Receptionist to join an engineering firm in Vancouver, British Columbia on a Contract basis through the end of July. This position is ideal for someone who enjoys being the first point of contact for visitors and callers while keeping daily office operations running smoothly. The successful candidate will support front-desk activities, meeting coordination, general administration, and shared workplace upkeep in a detail-focused office environment.<br><br>Responsibilities:<br>• Manage incoming calls, direct them appropriately, and record clear messages when needed.<br>• Welcome guests and staff at reception, ensuring every interaction is courteous, helpful, and attentive.<br>• Respond to routine questions and provide accurate information to visitors, callers, and internal teams.<br>• Handle incoming and outgoing mail, courier packages, and deliveries with careful organization and timely distribution.<br>• Arrange meetings and lunch-and-learn sessions, including room preparation, catering coordination, and post-meeting clean-up.<br>• Maintain kitchens, meeting rooms, and common areas by restocking supplies, loading or unloading the dishwasher, and keeping shared spaces tidy.<br>• Track office and kitchen inventory levels and place supply orders to support uninterrupted daily operations.<br>• Provide administrative assistance such as document preparation, formatting, certificate generation, file archiving, and retrieval of stored records.<br>• Support vendor coordination, internal events, and other operational activities as required across departments and office locations.
• Previous experience in a receptionist, front-desk, or administrative support role.<br>• Ability to operate a multi-line phone system and manage a moderate volume of daily calls with strong attention to detail.<br>• Strong customer service and interpersonal skills with a detail-oriented and approachable manner.<br>• Proficiency with Microsoft Outlook, Word, and Excel for email communication, document editing, and basic office tasks.<br>• Excellent organizational skills with the ability to manage schedules, files, supplies, and competing priorities.<br>• Comfortable coordinating meetings, appointments, and workplace events with close attention to detail.<br>• Ability to perform data entry and general administrative duties accurately in a fast-paced office setting.
