Project Assistant
We are looking for a Project Assistant to join a non-profit organization in Toronto, Ontario on a Contract basis. In this fully remote role, you will provide day-to-day coordination and administrative support to a busy marketing and communications team, helping requests move forward efficiently and ensuring work is organized across multiple stakeholders. This opportunity is well suited to someone who communicates confidently, stays on top of timelines, and is comfortable using Microsoft Office tools to keep projects and information on track.<br><br>Responsibilities:<br>• Coordinate incoming requests for the marketing and communications team by monitoring shared channels, reviewing submissions, and following up to gather any missing details.<br>• Maintain organized records and accurate data entries so project information, files, and updates are easy for team members to access and use.<br>• Track assignments and timelines using Microsoft tools, helping distribute work across the team and keeping priorities visible.<br>• Serve as a central contact for internal stakeholders, providing responsive customer service and clear communication throughout each request.<br>• Support project coordination activities for a team of approximately 15 to 16 staff by preparing materials, updating status information, and assisting with day-to-day administration.<br>• Liaise with freelance translators to assign work, confirm details, and help ensure deliverables are completed within expected timelines.<br>• Prepare, format, and update documents, spreadsheets, presentations, and correspondence using Microsoft Word, Excel, Outlook, and PowerPoint.<br>• Assist with general administrative tasks such as organizing files, scanning documents, and supporting shipping-related activities when required.
<p>• At least 2 years of experience in an administrative, project support, or coordination role.</p><p>• Proficiency with Microsoft Office applications, specifically <strong>MS Project. </strong></p><p>• Ability to learn new digital tools quickly and work confidently with collaboration and task-management platforms such as Teams, Planner, and Loop.</p><p>• Strong customer service and interpersonal skills, with the ability to communicate professionally across different teams.</p><p>• Demonstrated ability to manage timelines, handle multiple requests, and stay highly organized in a fast-paced environment.</p><p>• Accurate data entry skills and strong attention to detail when maintaining records and tracking work.</p><p>• Comfortable working independently in a fully remote setting while remaining responsive and dependable.</p><p>• Willingness to complete the required hiring process screening.</p>
