Executive Assistant
We are looking for an Executive Assistant to provide high-level administrative support within a non-profit organization in Toronto, Ontario. This Contract position requires an experienced, detail-oriented candidate who can manage executive priorities, coordinate daily operations, and keep sensitive information organized with discretion. The ideal candidate brings strong judgement, exceptional attention to detail, and the ability to support senior leaders in a fast-paced environment.<br><br>Responsibilities:<br>• Manage complex calendars for senior executives, organizing meetings, appointments, and schedule changes to support shifting business needs.<br>• Coordinate travel arrangements and prepare detailed itineraries, ensuring bookings, logistics, and related documentation are handled accurately.<br>• Process expense claims and reconcile spending records using Concur while maintaining timely and organized reporting.<br>• Support virtual and in-person meetings by arranging logistics, preparing materials, and facilitating sessions through Cisco Webex Meetings.<br>• Maintain accurate administrative records and update information in CRM systems to support communication and executive follow-up.<br>• Assist with timekeeping administration and related reporting using Kronos Timekeeping System and ADP where required.<br>• Prepare, format, scan, photocopy, and distribute documents to support executive correspondence, presentations, and internal administration.<br>• Work closely with senior leaders and internal stakeholders to ensure priorities, deadlines, and follow-up actions are managed effectively.
• Previous experience supporting senior executives or C-suite leaders in an Executive Assistant or similar administrative role.<br>• Demonstrated ability to manage complex calendars, competing priorities, and confidential information with professionalism.<br>• Hands-on experience with Concur for expense reporting and travel coordination.<br>• Proficiency with Cisco Webex Meetings and other tools used to organize and support executive meetings.<br>• Working knowledge of CRM platforms and administrative record management practices.<br>• Familiarity with Kronos Timekeeping System and ADP in an office support environment.<br>• Strong written and verbal communication skills, along with a high level of accuracy and attention to detail.
