Front Desk Coordinator
We are looking for a detail-oriented Front Desk Coordinator to join our team in Thornhill, Ontario. This is a contract position requiring five days of on-site work per week. The successful candidate will play a key role in ensuring the smooth operation of the facility, maintaining a welcoming environment, and supporting administrative functions.<br><br>Responsibilities:<br>• Perform daily inspections of the facility, ensuring conference rooms are tidy, chairs are arranged, tables are clean, and whiteboards are clear.<br>• Manage kitchen duties, including unloading dishwashers, restocking supplies, and lifting items up to 25 pounds.<br>• Utilize facilities management systems such as RealSuite and Soneil to track and coordinate tasks effectively.<br>• Provide front desk reception services, including answering multi-line phone systems and assisting visitors in a courteous manner.<br>• Organize and maintain files and records to ensure easy access and retrieval.<br>• Coordinate conference room setups and cleanups, ensuring all equipment and arrangements meet organizational standards.<br>• Maintain professionalism by ensuring interactions are appropriate and the reception area remains focused and productive.<br>• Collaborate with team members to address facility needs and ensure seamless daily operations.<br>• Uphold workplace cleanliness and safety standards across all areas of the facility.
• Minimum of 2 years of experience in administrative assistance or front desk coordination.<br>• Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.<br>• Strong organizational skills and attention to detail.<br>• Ability to lift and move objects weighing up to 25 pounds.<br>• Experience with facilities management systems is preferred but not mandatory.<br>• Excellent interpersonal and communication skills.<br>• Ability to work independently and maintain professionalism in a dynamic environment.<br>• Commitment to working on-site five days a week.
