Client Care Coordinator
We are looking for a Client Care Coordinator to support daily clinic operations in Langley, British Columbia within the retail sector. This Long-term Contract opportunity is ideal for an administrative team member who enjoys delivering excellent client service, coordinating appointments, and handling detailed billing processes in a fast-paced, in-office setting. The successful candidate will help create a welcoming experience for visitors while ensuring records, communications, and scheduling tasks are managed accurately and efficiently.<br><br>Responsibilities:<br>• Welcome clients in person, answer incoming calls, and direct visitors appropriately to create a welcoming and friendly clinic experience.<br>• Coordinate appointment bookings, confirm upcoming visits, and support both service-related and new assessment scheduling needs.<br>• Manage detailed billing activities, including processing claims and documentation related to government programs, insurance coverage, veterans' services, and WorkSafe files.<br>• Maintain accurate client information through data entry, email communication, and organized handling of both physical and digital records.<br>• Reach out to past clients to encourage follow-up care and support clinic outreach initiatives, campaign calls, and business development efforts.<br>• Assist walk-in clients with questions, service requests, and appointment support while balancing multiple administrative priorities throughout the day.<br>• Use internal systems and office software to keep schedules, files, and client communications up to date and well organized.<br>• Support day-to-day front-office operations in an in-office environment where independent work and sound judgement are important.
• Minimum of 2 years of experience in an administrative, client service, or coordination role.<br>• Strong customer service skills with the ability to communicate clearly and professionally in person, by phone, and through email.<br>• Proven accuracy with data entry, record maintenance, and appointment scheduling in a busy office setting.<br>• Experience with medical, healthcare, insurance, or related billing processes, including work involving detailed claim requirements.<br>• High level of attention to detail and the ability to learn complex procedures and internal systems quickly.<br>• Proficiency with Microsoft Outlook and Microsoft Word for daily administrative tasks and correspondence.<br>• Comfortable handling inbound and outbound calls while managing walk-ins and competing priorities effectively.
