Executive Assistant
<p>We are looking for an experienced Executive Assistant to support senior leadership within a respected non-profit organization in Ottawa, Ontario. This Long-term Contract opportunity is ideal for someone who brings strong organizational abilities, sound judgement, and a solid understanding of governance practices. In this role, you will coordinate executive priorities, manage administrative activities, and serve as a detail-oriented point of contact for internal and external stakeholders.</p><p><br></p><p><strong>Responsibilities:</strong></p><p>• Coordinate complex calendars, schedule meetings, and ensure executives are fully prepared for upcoming commitments.</p><p>• Act as a key liaison with clients, partners, board members, and other stakeholders while maintaining a detail-oriented and responsive approach.</p><p>• Arrange travel plans, including itineraries and related logistics, to support executive schedules efficiently.</p><p>• Prepare, review, and submit expense claims with accuracy and in accordance with organizational procedures.</p><p>• Organize meeting materials, distribute documentation, and support governance-related activities as required.</p><p>• Maintain records, correspondence, and administrative files in an orderly and confidential manner.</p><p>• Support virtual and in-person meetings using collaboration tools and provide general administrative assistance to senior leaders.</p><p>• Assist with document handling tasks such as scanning, copying, and preparing materials for distribution.</p>
<p><strong>Qualifications:</strong></p><p>• Minimum of 3 years of experience in an Executive Assistant or similar senior administrative support role.</p><p>• Demonstrated experience supporting C-suite leaders in a fast-paced, detail-oriented environment.</p><p>• Strong organizational and time-management skills with the ability to manage multiple priorities effectively.</p><p>• Familiarity with governance processes and experience supporting board or executive-level activities.</p><p>• Proficiency with calendar coordination, travel planning, and expense administration.</p><p>• Experience using tools such as Cisco Webex Meetings, Concur, CRM platforms, and Microsoft Office applications.</p><p>• High level of discretion and communication skills when interacting with internal and external contacts.</p><p><br></p><p>If this position sounds like the right fit, please do not hesitate and apply online today or call us at 613-236-4253!</p><p><br></p><p><strong>Job Reference Number: </strong>0013460037</p>
