Payroll Administrator
We are looking for a Payroll Administrator to join a not-for-profit organization in Unionville, Ontario on a Contract basis to provide onsite coverage during a leave of absence. This position is responsible for delivering accurate payroll processing while supporting related accounting, reporting, and benefits administration activities. The successful candidate will play an important role in maintaining compliance with applicable legislation, collective agreements, and internal policies while contributing to a collaborative workplace.<br><br>Responsibilities:<br>• Process payroll accurately and on schedule, ensuring deductions, taxable benefits, garnishments, and remittances are handled in accordance with federal and provincial requirements, collective agreements, and organizational guidelines.<br>• Maintain employee payroll records by updating pay information, benefit enrolments, attendance details, and seniority data with a high level of accuracy and timeliness.<br>• Transfer payroll information into the accounting system and complete reconciliations for related general ledger accounts.<br>• Track and reconcile payroll-related accruals, including vacation balances, employee benefits, and retroactive pay adjustments.<br>• Prepare regular payroll cost reports and provide analysis by department to support financial oversight and planning.<br>• Coordinate employee benefit and pension changes, and respond to payroll and benefits inquiries from staff, government bodies, and external service providers.<br>• Complete payroll compliance activities such as Records of Employment, T4 preparation, and year-end payroll reporting within required deadlines.<br>• Support audits and external reporting by providing payroll documentation for annual financial reviews, ministry submissions, and other stakeholder requirements.<br>• Assist with related finance and administrative duties such as processing authorized donation deductions, reviewing petty cash records, maintaining vendor information, and preparing rebate reporting.<br>• Contribute to a positive team environment by supporting cross-department communication, following health and safety requirements, and adjusting work hours when needed to meet deadlines.
• College-level education in business, accounting, or a related field.<br>• Payroll Compliance Practitioner certification, or an equivalent combination of payroll training and practical experience.<br>• 3 to 5 years of end-to-end payroll experience in a medium- to high-volume computerized environment.<br>• Solid understanding of payroll administration, bookkeeping, and general accounting principles.<br>• Proficiency with payroll and accounting software, along with strong computer skills and intermediate to advanced Microsoft Excel abilities, including formulas and pivot tables.<br>• Experience working in a unionized setting is an asset; background in a non-profit, charitable, or regulated public-sector environment is preferred.<br>• Knowledge of Quadrant HR or similar payroll systems is considered an asset, and familiarity with long-term care or ministry compliance reporting would be beneficial.<br>• Strong organizational skills, sound judgment, discretion, and an empathetic, detail-oriented approach when dealing with employees and stakeholders.
