We are seeking an Administrative Assistant to join its growing team. The organization is partner-led and employs approximately 100 professionals across multiple locations in Canada. The firm delivers complex projects and services across a range of sectors and is known for its collaborative culture, high standards, and commitment to excellence.</p><p><br></p><p><strong>The Role</strong></p><p>The Administrative Assistant serves as the first point of contact for clients, guests, and staff, ensuring a professional and welcoming front-facing presence. This role is integral to maintaining smooth day-to-day office operations and supporting both administrative and accounting functions.</p><p>This position requires a polished, highly organized individual who thrives in a fast-paced, deadline-driven environment. The successful candidate is proactive, detail-oriented, and capable of managing multiple priorities with minimal supervision while contributing positively to a team-oriented workplace.</p><p><br></p><p>Key functions:</p><ul><li>Manage reception, including greeting visitors, answering and directing calls, and maintaining a professional front-office environment</li><li>Coordinate meetings, prepare meeting rooms, and support audio-visual and conferencing technology</li><li>Book travel and accommodations in accordance with internal policies</li><li>Monitor employee availability and assist with internal coordination</li><li>Maintain office systems including phones, printers, and general equipment; liaise with service providers as required</li><li>Manage incoming/outgoing mail and courier services, including tracking and distribution</li><li>Maintain accurate filing systems for documentation, ensuring adherence to naming conventions and protocols</li><li>Order and restock office and kitchen supplies</li><li>Support general office upkeep, including light kitchen maintenance and coordination with building services</li><li>Provide administrative support to staff (document preparation, spreadsheets, scanning, etc.)</li><li>Assist with onboarding logistics, including workstation setup and orientation support</li><li>Provide basic IT/technical support coordination where required</li><li>Collect, organize, and scan expense receipts for leadership team purchases</li><li>Ensure purchase orders are completed and approved prior to procurement</li><li>Verify that received goods and invoices align with purchase orders</li><li>Submit verified invoices to accounting for processing</li><li>Ensure accurate coding of operational expenses (e.g., printing, courier, supplies)</li><li>Provide additional support to the accounting team as required</li></ul><p><br></p>
<ul><li>At least 3 years experience in an administrative, reception, or office support role</li><li>Professional presence with strong interpersonal and communication skills</li><li>Highly organized with strong attention to detail and accuracy</li><li>Ability to multitask and manage competing priorities in a fast-paced environment</li><li>Proficiency in Microsoft Office (Word, Excel, Outlook) and general office systems</li><li>Comfortable working independently with minimal supervision</li><li>Strong team orientation and willingness to support cross-functional needs</li></ul>
