Receptionist
<p>We are looking for a detail-oriented Receptionist to support day-to-day front office and administrative operations in Burnaby, British Columbia. This is a <em><u>part-time contract </u></em>position suited to someone who enjoys creating a welcoming environment, keeping office activities organized, and handling a variety of coordination tasks with discretion. The successful candidate will serve as the first point of contact for visitors and service providers while helping maintain an efficient, well-supplied, and well-functioning workplace.</p><p><br></p><p>Responsibilities:</p><p>• Welcome clients, guests, delivery personnel, and vendors in a courteous manner while managing the front desk experience throughout the day.</p><p>• Open and secure the office daily, including preparing shared spaces for business hours and ensuring the site is properly closed at the end of the day.</p><p>• Receive incoming mail, packages, and cheque deliveries, sort items accurately, and route materials to the appropriate internal teams, including Finance.</p><p>• Coordinate calendars, book appointments and meetings, and arrange courier pickups and deliveries as required.</p><p>• Prepare, format, and circulate routine business documents such as letters, memos, forms, and other correspondence.</p><p>• Monitor office stock levels and place orders for essential supplies, including stationery, kitchen items, washroom products, and printer materials.</p><p>• Support the upkeep of office equipment by tracking inventory, arranging service calls, and following up on maintenance or repair needs.</p><p>• Perform general administrative support duties such as filing, scanning, copying, binding, typing, and maintaining organized records.</p><p>• Help maintain a clean and orderly workplace by overseeing kitchen and printer areas, coordinating with cleaning and building service providers, and addressing maintenance concerns when they arise.</p><p>• Assist with office hospitality tasks, including arranging weekly breakfast orders and setting up and tidying shared spaces afterward.</p>
• Previous experience in a receptionist, front desk, or administrative support role within an office environment.<br>• Strong customer service skills with the ability to interact professionally with visitors, staff, couriers, and external partners.<br>• Proven ability to handle confidential information with sound judgment and discretion.<br>• Proficiency in Microsoft Word, Excel, and Outlook, with confidence in email communication and basic data entry tasks.<br>• Experience using a multi-line phone system and managing appointments, schedules, or meeting coordination.<br>• Excellent organizational skills with the ability to balance competing priorities and maintain accurate records.<br>• Comfortable supporting office operations through supply tracking, document preparation, and coordination of general workplace maintenance.
