Executive Assistant/Admin Assistant
<p>We are seeking a contract Executive Administrative Assistant to serve as the primary onsite support resource, delivering polished, detail-oriented service to both internal teams and executive-level stakeholders.</p><p><br></p><p><strong><u>Contract Dates:</u></strong></p><ul><li><strong>December 29, 30, 31 & January 2</strong></li><li><strong>Client site is closed January 1</strong></li><li><strong>Shadowing Requirement:</strong> Candidate must be available for a <strong>4-hour onsite shadowing session on January 26 or 27</strong> with the full-time employee they will be covering for.</li></ul><p><br></p><p><strong><u>Day-to-Day Responsibilities / Work Environment</u></strong></p><ul><li><strong>Must be highly proficient in Slack</strong> — this is the primary communication platform.</li><li>Additional tools: <strong>Google Chat</strong> and <strong>Zendesk</strong>.</li><li>The workplace environment will be less busy than usual during this period, but <strong>executive-level visitor spikes</strong> should be expected.</li><li>Responsible for <strong>coordinating and ordering all catering services</strong>, as well as preparing food setups for the onsite team.</li><li>Will serve as the <strong>sole Workplace Experience Coordinator onsite</strong>; must be comfortable taking on duties outside the traditional scope when needed.</li><li>Acts as the <strong>primary face of the office</strong>, greeting all visitors, including <strong>high-profile individuals</strong>.</li><li>Must be <strong>extremely detail-oriented</strong>—errors such as typos in communications can negatively impact important relationships.</li><li>Must demonstrate <strong>excellent communication skills</strong>, including the ability to professionally engage with <strong>C-suite and senior leadership</strong>.</li></ul><p><br></p>
<p><strong><u>Requirements:</u></strong></p><ul><li><strong>Proven experience in executive administrative support or workplace experience roles.</strong></li><li><strong>High proficiency with communication platforms, including Slack, Google Chat, and similar tools.</strong></li><li>Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.</li><li><strong>Exceptional attention to detail, especially in written communication and client-facing interactions.</strong></li><li><strong>Professional, polished communication skills with experience engaging with senior leadership or C-suite individuals.</strong></li><li>Ability to perform a wide range of administrative and operational tasks, stepping in wherever needed.</li><li>High-energy, proactive, and solutions-oriented mindset.</li><li>Comfortable working independently as the primary onsite support representative.</li></ul><p><strong><u>Soft Skill Requirements: </u></strong></p><ul><li><strong>High-energy, Type A personality</strong> who thrives in fast-paced, high-visibility environments.</li><li>Ability to provide <strong>clear, thorough, and thoughtful responses</strong> to manager questions during interviews and while onsite.</li><li>Must be able to articulate <strong>best practices for task prioritization</strong> and maintaining composure under pressure.</li><li>Must have a <strong>strong sense of urgency</strong> and the ability to adapt quickly.</li><li><strong>Exceptional attention to detail</strong>—accuracy in written communication is essential.</li><li>Strong, polished, and confident <strong>verbal and written communication skills</strong>, especially when interacting with executives.</li></ul>
