Intake Coordinator
We are looking for an Intake Coordinator to support a non-profit organization in Shawano, Wisconsin through a Contract position. This role serves as an important first point of contact for individuals seeking services, ensuring each interaction is handled with empathy and attention to detail. The ideal candidate will combine strong administrative skills with a service-focused approach to guide applicants through the intake process and maintain accurate records.<br><br>Responsibilities:<br>• Welcome clients and respond to intake inquiries in a courteous, timely, and detail-focused manner.<br>• Guide individuals through application and enrollment steps, explaining required information and next actions clearly.<br>• Review submitted forms for completeness and follow up to obtain missing details or documentation.<br>• Enter, update, and organize client information within internal records and tracking systems with accuracy.<br>• Coordinate appointments, referrals, and related communications to help ensure a smooth intake experience.<br>• Maintain confidential files and handle sensitive information in accordance with organizational standards.<br>• Work closely with program staff to share intake updates and support efficient client onboarding.<br>• Assist with general administrative tasks such as preparing documents, managing correspondence, and organizing intake materials.
• Previous experience in client intake, customer service, or an administrative support role.<br>• Ability to communicate clearly and professionally with clients, staff, and community contacts.<br>• Strong organizational skills with careful attention to accuracy and follow-through.<br>• Experience handling applications, forms, or client documentation in a detail-oriented setting.<br>• Comfortable managing multiple priorities while providing responsive service in a fast-paced environment.<br>• Proficiency with basic office software and data entry systems.<br>• Ability to maintain discretion when working with confidential or sensitive information.
