Events Coordinator
<p>We are looking for an experienced Events Coordinator to join our team in Madison, Wisconsin. In this role, you will play a key part in organizing and executing events. This is a contract position where you will collaborate across departments to deliver impactful events while managing logistics and budgets effectively.</p><p><br></p><p>Responsibilities:</p><p>• Plan and implement events that support the organization’s strategic fundraising priorities and community engagement goals.</p><p>• Work closely with leadership, fundraising staff, and other team members to coordinate hosted events involving board members, donors, volunteers, and special guests.</p><p>• Facilitate collaboration across departments to ensure event-related needs such as attendance, IT support, and speaking engagements are met.</p><p>• Assist in the planning of major events such as milestone anniversaries and national celebrations.</p><p>• Develop detailed event timelines and logistics documentation to ensure smooth execution.</p><p>• Monitor and manage event budgets to track expenses and maintain financial accountability.</p><p>• Oversee RSVP tracking and attendance lists to ensure accurate guest management.</p><p>• Coordinate post-event activities such as thank-you notes, follow-up communications, and debrief meetings.</p><p>• Partner with the marketing and communications team to create promotional materials including invitations, flyers, and programs.</p><p>• Recruit and organize staff support to ensure successful execution of cultivation and stewardship events.</p>
• Proven experience in planning and executing community or corporate events.<br>• Strong communication and organizational skills to manage diverse stakeholders and event logistics.<br>• Proficiency in budget management and tracking event expenses.<br>• Ability to solve problems creatively and adapt to changing circumstances during event execution.<br>• Familiarity with project management tools for event coordination.<br>• Ability to work collaboratively across departments and engage staff participation.<br>• Experience designing effective marketing materials for events.<br>• Knowledge of best practices in event planning and logistics.
