Event Assistant Job Description

Event assistants support the planning and execution of corporate, nonprofit and community events by handling logistics, coordinating vendors and ensuring smooth day-of operations. This role requires detail-oriented professionals who thrive in fast-paced environments and enjoy working behind the scenes to create memorable experiences. Event assistants work closely with event planners, marketing teams and external partners to deliver successful events from start to finish.

Typical event assistant duties:

Assist with event planning tasks, including venue research, vendor coordination and schedulingSupport the setup and breakdown of event spaces, ensuring all materials and equipment are in placeCommunicate with vendors, sponsors and participants to confirm logistics and provide updatesPrepare event materials such as signage, name tags, agendas and promotional itemsTrack RSVPs, manage guest lists and provide on-site registration supportMonitor event timelines and assist with troubleshooting issues as they ariseMaintain accurate records of event expenses, contracts and post-event evaluationsContribute to event marketing efforts, including social media, email campaigns and follow-up communications
