Donor Assistant Job Description

Donor assistants support fundraising and development teams by managing donor records, coordinating communications and ensuring timely acknowledgments. They are essential for maintaining strong donor relationships and supporting the administrative functions that drive fundraising success. Donor assistants work closely with development officers, finance teams and external stakeholders to ensure accurate data and a positive donor experience.

Typical donor assistant duties:

Maintain and update donor databases with accurate contact information, donation history and engagement detailsProcess donations and prepare timely acknowledgment letters, receipts and thank-you notesAssist with donor communications, including email campaigns, newsletters and event invitationsCoordinate logistics for donor events, meetings and stewardship activitiesGenerate reports and donor lists to support fundraising campaigns and grant applicationsRespond to donor inquiries and provide excellent customer serviceCollaborate with development and finance teams to ensure accurate gift recording and reconciliationSupport special projects and administrative tasks related to fundraising and donor engagement
