Legal Administrative Assistant
We are looking for a highly organized and detail-oriented Legal Administrative Assistant to join our dynamic team in Vancouver, British Columbia. This is a contract position within a law firm specializing in estate administration, trust and estate planning, tax planning, and estate/tax litigation. The ideal candidate will work closely with our lawyers, providing essential administrative and legal support while maintaining a client-focused approach.<br><br>Responsibilities:<br>• Prepare and draft legal correspondence and other documentation with precision.<br>• Oversee administrative tasks, including file management, file openings, and closings, ensuring compliance with established procedures.<br>• Organize and maintain both physical and electronic filing systems for efficient access and retrieval.<br>• Manage calendars and scheduling, including booking appointments and coordinating with clients.<br>• Operate and maintain a bring-forward (BF) system to ensure tasks and deadlines are met.<br>• Provide support with accounting-related tasks, including invoicing and payment tracking.<br>• Communicate professionally with clients, addressing inquiries and providing updates as needed.<br>• Collaborate with lawyers and other team members to ensure smooth workflow and task delegation.
• A minimum of 2-3 years of experience in estate planning and/or estate administration within a legal environment.<br>• Exceptional written and verbal communication skills, with a client-centric approach.<br>• Strong organizational abilities and keen attention to detail, ensuring accuracy in all work.<br>• Advanced proficiency in Office tools and Adobe Acrobat, with strong technical skills.<br>• Proven ability to multitask and remain composed under pressure in a fast-paced environment.<br>• Sound judgment and discretion, with the ability to handle confidential information responsibly.<br>• Familiarity with legal documentation, calendar management, and booking appointments.<br>• Experience with photocopying, scanning, and maintaining legal files.
