Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to join our team in Whitby, Ontario. This is a long-term contract position supporting the Health Protection Program, providing essential administrative services in a fast-paced and collaborative environment. The role requires someone who is highly organized, adaptable, and able to manage multiple priorities effectively.<br><br>Responsibilities:<br>• Perform accurate and timely data entry of confidential and sensitive information.<br>• Coordinate administrative tasks such as packing supplies and coolers for public health programs.<br>• Manage email correspondence and maintain schedules using Microsoft Outlook.<br>• Prepare and edit documents using Word, Excel, PowerPoint, and other tools.<br>• Support inventory audits and supply ordering to ensure program needs are met.<br>• Take minutes during meetings and distribute them to relevant stakeholders.<br>• Handle competing priorities and tight deadlines with effective time management.<br>• Work independently and collaboratively to meet organizational goals.<br>• Maintain a scent-free work environment in compliance with workplace policies.
• Completion of at least a high school diploma.<br>• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.<br>• Intermediate computer skills for tasks such as data entry and minute-taking.<br>• Strong organizational abilities to manage multiple tasks and priorities.<br>• Exceptional time management skills to meet strict deadlines.<br>• Excellent communication skills for clear and detail-oriented interactions.<br>• Ability to work both independently and collaboratively as part of a team.<br>• Adherence to a scent-free workplace policy.
