Receptionist
<p>We are looking for a detail-oriented and approachable Receptionist to support day-to-day front desk operations for an organization in Toronto, Ontario. This short-term contract position is ideal for someone with at least two years of experience who can create a welcoming first impression while keeping administrative tasks organized and on schedule. The successful candidate will manage communications, coordinate appointments, and provide dependable clerical support in a fast-paced environment.</p><p><br></p><p><strong>Please note this a part-time contract opportunity working the following hours:</strong></p><p><strong>Monday to Thursday: 3pm to 7pm</strong></p><p><strong>Saturday: 9am to 5pm</strong></p><p><strong>(Friday &amp; Sunday off)</strong></p><p><br></p><p>Responsibilities:</p><p>• Welcome visitors, respond to inquiries, and ensure a positive experience for clients, guests, and staff at the front desk.</p><p>• Handle incoming calls through a multi-line phone system, direct messages accurately, and relay information to the appropriate contacts.</p><p>• Coordinate calendars and book appointments while helping maintain an efficient daily schedule.</p><p>• Prepare, sort, and update records, correspondence, and general office documents with a high level of accuracy.</p><p>• Support email communication by monitoring messages, drafting routine responses, and forwarding requests as needed.</p><p>• Maintain organized filing systems for both digital and physical documents to support easy access to information.</p><p>• Enter and update data in internal records and spreadsheets, ensuring information remains complete and current.</p><p>• Use Microsoft Word, Excel, and Outlook to manage administrative tasks, correspondence, and reporting needs.</p>
• Minimum of 2 years of experience in a receptionist or front office support role.<br>• Demonstrated ability to manage a multi-line phone system in a busy workplace.<br>• Strong customer service skills with a courteous and detail-oriented communication style.<br>• Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.<br>• Accurate data entry skills and strong attention to detail when handling records and documents.<br>• Ability to organize files, manage multiple priorities, and maintain a structured work area.<br>• Strong interpersonal skills and the ability to work effectively with visitors, colleagues, and external contacts.
