Office Administrator
We are looking for a detail-oriented Office Administrator to support front-desk operations for a Financial Services organization in Toronto, Ontario. This Contract position is ideal for someone who enjoys creating a welcoming experience for visitors while keeping daily administrative activities organized and running smoothly. The successful candidate will manage reception services, coordinate correspondence, and provide clerical support that helps maintain accurate records and efficient office workflows.<br><br>Responsibilities:<br>• Welcome visitors, respond to in-person inquiries, and help create a courteous and welcoming front-office experience.<br>• Keep the reception space and meeting rooms orderly, presentable, and ready for daily use and scheduled visits.<br>• Answer incoming calls on a multi-line phone system, route inquiries to the appropriate teams, and address routine questions related to member records and benefit plans.<br>• Receive, sort, date-stamp, and distribute incoming mail, including preparing cheques for internal processing and ensuring mail reaches the correct staff members.<br>• Prepare outgoing mail by applying the correct postage, coordinating mailbox drop-offs, and maintaining postage supplies and equipment readiness.<br>• Arrange courier shipments and pickups and distribute incoming faxes and related documents promptly.<br>• Support office security practices by securing filing cabinets and file rooms containing confidential member and employer information.<br>• Scan, file, and organize incoming and outgoing documentation while maintaining accurate physical and electronic records.<br>• Provide general clerical assistance such as data entry, photocopying, faxing, and updating employer remittance and address information in the appropriate systems as needed.
• Experience in reception, office administration, or customer-facing administrative support.<br>• Proficiency with a multi-line phone system and confidence handling high volumes of calls professionally.<br>• Strong customer service and interpersonal skills with the ability to interact effectively with visitors, staff, and external contacts.<br>• Accurate data entry skills and strong attention to detail when managing records and documentation.<br>• Working knowledge of Microsoft Word, Excel, and Outlook for daily administrative tasks and email correspondence.<br>• Ability to organize files, manage mail and courier activity, and maintain orderly office processes.<br>• Strong time management skills with the ability to prioritize multiple tasks in a busy office environment.
