Administrative Coordinator
We are looking for an Administrative Coordinator to support the day-to-day front office operations for a non-profit organization in Toronto, Ontario. This Contract position is fully onsite and suited to someone who brings sound judgement, strong attention to detail, and a welcoming approach to administrative support. The successful candidate will help keep the office running smoothly by managing reception activities, coordinating routine office tasks, and assisting staff with general administrative needs.<br><br>Responsibilities:<br>• Welcome visitors and serve as the first point of contact at the front desk, creating a detail-oriented and helpful experience.<br>• Handle incoming and outgoing mail, courier packages, and other general office distribution tasks with accuracy and timeliness.<br>• Provide day-to-day administrative support to staff by assisting with routine office requests and coordinating basic office activities.<br>• Manage appointment scheduling, calendars, and meeting arrangements as needed to support team operations.<br>• Respond to general inquiries by phone, email, or in person, and direct requests to the appropriate contact.<br>• Maintain organized records, documents, and office information to support efficient daily operations.<br>• Assist with office functions such as preparing materials, monitoring shared spaces, and ensuring reception and common areas remain orderly.<br>• Support the use of administrative systems and communication tools, including scheduling platforms, CRM records, and virtual meeting applications when required.
• Previous experience in an administrative, reception, or front desk support role.<br>• Strong customer service skills with the ability to interact professionally with visitors, staff, and external contacts.<br>• Excellent communication skills, both verbal and written.<br>• Proven ability to manage schedules, appointments, and multiple routine tasks in a busy office setting.<br>• Comfortable using common office and business tools, including CRM systems, Webex, Concur, and related administrative software.<br>• Sound judgement, reliability, and a practical approach to handling day-to-day office needs.<br>• Ability to work fully onsite in Toronto, Ontario for the duration of the contract.
