File Clerk
We are looking for a detail-oriented File Clerk to join our team on a contract basis in Newmarket, Ontario. This position supports the Human Resources department by managing employee documentation and ensuring records are organized accurately. If you enjoy working in a structured environment and have a knack for maintaining confidentiality, this role could be the perfect fit for you.<br><br>Responsibilities:<br>• Organize and file employee paper documents into designated categories, including Personnel, Medical, and Training files.<br>• Sort documentation systematically by date, name, and type to ensure proper organization.<br>• Handle file boxes, including lifting and moving boxes weighing up to 20 lbs.<br>• Archive files by moving them into boxes and clearly handwriting labels for accurate identification.<br>• Maintain strict confidentiality and security standards when handling sensitive employee information.<br>• Stand, sit, bend, and reach as needed to access and organize files efficiently.<br>• Print and write clearly to ensure labels and records are easily legible.<br>• Follow established procedures for scanning and archiving documents when required.<br>• Collaborate with HR staff to ensure filing systems align with organizational needs.
• At least 2 years of experience in document filing or a related role.<br>• Strong attention to detail and ability to categorize documents accurately.<br>• Familiarity with employee documentation, including Personnel, Medical, and Training files.<br>• Physical ability to lift up to 20 lbs and perform tasks requiring standing, bending, and reaching.<br>• Clear printing and handwriting skills for labeling and record-keeping purposes.<br>• Proficiency in document scanning and handling software such as Adobe Acrobat.<br>• Knowledge of confidentiality and security practices when managing sensitive information.<br>• Experience using systems like ADP, IBM AS/400, and Epic Software is considered an asset.
