In this Contract to permanent position, you will play a key part in ensuring smooth and efficient operations through detailed administrative support and coordination. This position requires strong organizational skills and attention to detail to manage various tasks in a fast-paced environment.<br><br>Responsibilities:<br>• Administer contracts and oversee monthly billing processes, including subcontractor bills, job cost billings, and material invoices.<br>• Prepare certified payroll documentation and ensure compliance with prevailing wage requirements.<br>• Accurately enter and code work hours by job and state for labor, materials, purchases, and subcontractors.<br>• Process vendor invoices and reconcile purchase orders to maintain accurate financial records.<br>• Maintain and track records for work orders, inspections, job costing, and billing schedules.<br>• Utilize Timberline (Sage 300) software for managing job costing and generating billing reports.<br>• Provide comprehensive administrative support across departments and facilitate communication between field and office staff.<br>• Generate monthly job costing reports and deliver detailed analyses to the Manager and Accounting team.<br>• Address commercial collections and assist customers with invoices, payment issues, and report requests.<br>• Monitor project workflows to ensure timely completion of tasks and adherence to deadlines.
