Property Administrator
We are looking for a detail-oriented Property Administrator to support a real estate portfolio in Temecula, California. This Contract position is ideal for someone who can balance administrative precision with responsive service for tenants, vendors, and property owners. The role focuses on leasing coordination, rent administration, compliance support, maintenance follow-up, and accurate documentation in a fast-moving property management environment.<br><br>Responsibilities:<br>• Oversee rent-related administrative tasks, including payment tracking, account updates, reporting, and accurate entry of portfolio information within property management systems such as AppFolio.<br>• Coordinate leasing support activities by assisting with unit advertising, preparing rental paperwork, monitoring lease expiration timelines, and facilitating renewal and move-in documentation.<br>• Serve as a point of contact for tenant and vendor communication, ensuring inquiries, service needs, and follow-up items are handled promptly and professionally.<br>• Track maintenance requests from intake through completion, helping to schedule work, document progress, and support safe, well-maintained property conditions.<br>• Prepare, organize, and process lease files, notices, renewals, and related administrative records while maintaining accuracy and completeness.<br>• Maintain orderly and confidential documentation for contracts, tenant records, compliance materials, and other property files to support operational readiness and audits.<br>• Assist with owner reporting by compiling updates, summarizing portfolio activity, and helping deliver timely information on property operations.<br>• Support compliance efforts by helping align property communications and documentation with California landlord-tenant guidelines and Fair Housing standards.<br>• Identify opportunities to improve administrative workflows and use technology effectively to strengthen recordkeeping, coordination, and service delivery.
• At least 2 years of experience in property administration, property management, leasing support, or a comparable real estate operations role.<br>• Hands-on experience with AppFolio, Yardi, or similar property management software used for rent tracking, records, and reporting.<br>• Working knowledge of leasing administration, rent collection processes, and maintenance coordination within residential or commercial properties.<br>• Familiarity with California landlord-tenant requirements and Fair Housing practices is strongly preferred.<br>• Strong written and verbal communication skills with the ability to interact effectively with tenants, vendors, and property owners.<br>• Excellent organizational skills and the ability to manage multiple deadlines while maintaining thorough and accurate records.<br>• Sound judgment and discretion when handling confidential documents and sensitive property-related information.
