Executive Assistant
We are looking for a detail-oriented and highly organized Executive Assistant to provide comprehensive support to the President and oversee various administrative tasks. This role requires exceptional multitasking skills and the ability to manage executive schedules, board governance activities, and office operations efficiently. As this is a long-term contract position based in Saint Paul, Minnesota, you will play a pivotal role in ensuring smooth organizational processes.<br><br>Responsibilities:<br>• Manage usernames and passwords for approximately 80 accounts, ensuring they are updated and organized for transition purposes.<br>• Prepare and organize files belonging to former staff members to facilitate onboarding for future hires.<br>• Provide direct administrative support to the President, including managing schedules, booking travel, and coordinating meetings.<br>• Create quarterly board meeting packets, take detailed meeting minutes, and distribute reminders to members about upcoming meetings.<br>• Coordinate logistical aspects of board meetings, including venue arrangements, virtual meeting setups, and catering.<br>• Oversee office operations by checking supplies, maintaining stock levels, and ensuring common areas like the breakroom are clean and well-kept.<br>• Open and sort mail and handle basic bookkeeping tasks, such as coding invoices.<br>• Ensure plants are watered and the office environment remains welcoming and organized.<br>• Prepare materials for executive meetings and assist in facilitating their smooth execution.
• Proficiency in calendar management and scheduling executive meetings.<br>• Experience in arranging travel and booking accommodations for executives.<br>• Strong skills in preparing meeting materials and taking detailed minutes.<br>• Familiarity with Microsoft 365 Enterprise for document management and communication.<br>• Basic bookkeeping knowledge, including coding invoices.<br>• Ability to coordinate catering and other logistical needs for meetings and events.<br>• Excellent organizational skills with attention to detail.<br>• Strong communication skills to liaise effectively with board members and staff.
