  • <p>We are seeking a detail-oriented Administrative Assistant to support a Safety team during the implementation of a contractor management system upgrade. This temporary assignment will focus on assisting with vendor compliance documentation, maintaining accurate records, and coordinating communication with existing vendors and contractors.</p><p><br></p><p>This role is ideal for someone with strong organizational and customer service skills who enjoys administrative work, follow-up communication, and ensuring information is accurate and complete. All outreach will be to existing vendors.</p><p><br></p><p>Key Responsibilities</p><ul><li>Contact existing vendors and contractors to request and collect required safety and compliance documentation.</li><li>Review vendor records to identify missing documents, certifications, training records, or other compliance requirements.</li><li>Maintain accurate records and update vendor information within company databases.</li><li>Verify and update key contact information for vendor safety and compliance representatives.</li><li>Follow up with vendors to ensure timely submission of required documentation.</li><li>Track progress and maintain detailed notes regarding vendor compliance status.</li><li>Escalate non-responsive or outstanding compliance issues to the appropriate internal team members.</li><li>Support the Safety team with general administrative tasks related to the contractor management program</li></ul>

  • Katie Weigel with Robert Half Finance and Accounting, direct hire placement of accounting and finance professionals, is recruiting to fill an Administrative role, supporting a sophisticated tax group in a family office. The person in this role should have tax support experience. Day to day the role includes assisting the Tax Team with servicing high-net worth clients including administration of compliance functions and tax compliance. <br>KEY RESPONSIBILITIES: <br>• Managing and maintaining the tax calendar for the tax team and assisting with workflow management <br>• Processing tax returns, electronically filing returns, and tracking acceptance <br>• Initiating all tax payments on behalf of our clients with various taxing jurisdictions and saving confirmation of payments <br>• Updating bookkeeping for clients’ businesses including reviewing monthly bank statements and maintaining books <br>• Preparing various information tax returns including Form 1099-MISC, Form 1099-NEC, and Form 1098 <br>• Proactively communicating with other tax team members on status of assignments and assistance needed <br>• Reviewing and organizing tax source documents for the preparation of individual, gift, fiduciary, corporation, and partnership tax returns <br>• Assisting with the preparation of individual tax returns as required <br>• Providing other support to the tax and accounting departments as needed <br>TECHNICAL EXPERTISE: <br>• Experience in public accounting preferred with exposure to individual tax returns. <br>Similar experience in a major bank trust accounting environment with fiduciary and individual tax responsibility <br>• Proficient with tax preparation software (CCH’s ProSystem fx preferred) and highly proficient in Excel <br>• Bachelor’s degree in accounting or finance preferred but not required.<br>• Accounting or similar paraprofessional experience preferred <br>PERSONAL ATTRIBUTES: <br>• Detail oriented and organized <br>• Skilled at identifying opportunities and solutions for problems <br>• Strong written and verbal communication skills <br>• Strong sense of accountability and time management skills <br>• Ability to work independently as well as in teams <br>• Flexibility and willingness to perform work outside of your discipline as needed to meet client demands from a small family office <br>• Ability to maintain strict client confidentiality and focused on providing superior client service.<br><br>This is a great family office group with offices in South Reno.
