Project Assistant
We are looking for a detail-oriented Project Assistant to support manufacturing projects and help teams stay aligned on schedules, documentation, and follow-up activities in Long Beach, California. This contract opportunity with the potential for a permanent role is ideal for someone who enjoys coordinating moving parts, working across multiple departments, and keeping project information organized and up to date. In this role, you will partner with internal stakeholders and external manufacturing contacts to help maintain momentum on product-related initiatives and ensure important milestones are tracked effectively.<br><br>Responsibilities:<br>• Oversee project timelines by monitoring milestones, pending tasks, and deliverables tied to vendor and internal manufacturing programs.<br>• Coordinate sourcing updates, sample activity, prototype progress, and tooling schedules to keep stakeholders informed of project status.<br>• Draft and distribute routine updates and follow-up communications for overseas manufacturing partners and related contacts.<br>• Maintain project logs, status reports, and supporting documentation to ensure records remain accurate, current, and easy to access.<br>• Organize sample and prototype requests, including shipment follow-up and tracking through completion.<br>• Gather input from cross-functional teams and consolidate feedback for clear communication to manufacturing partners.<br>• Support meetings by arranging schedules, preparing agendas, recording key discussion points, and tracking next steps.<br>• Review engineering and product files for missing or outdated information and coordinate revisions with the appropriate teams.<br>• Provide day-to-day administrative and project coordination support to Product Development leadership and partnering departments.
• 2+ years of experience in project coordination, project support, or a related administrative role.<br>• Ability to manage timelines, priorities, and deadlines across multiple active projects.<br>• Experience maintaining schedules, trackers, reports, and organized project documentation.<br>• Strong communication skills with the ability to coordinate effectively across internal teams and external partners.<br>• Proficiency in project coordination and general project management support activities.<br>• Comfortable handling detailed administrative tasks such as scanning, file maintenance, and document organization.<br>• Strong attention to detail and the ability to identify incomplete, missing, or outdated project information.
