Executive Assistant
We are looking for an experienced Executive Assistant to support high-level municipal operations in Florida. This contract to permanent Contract opportunity is ideal for a highly organized individual who can manage public-facing administrative work, coordinate executive and board-related activities, and maintain accurate official documentation in a government environment. The role will partner closely with senior leadership to organize meetings, oversee records-related processes, and help ensure compliance with applicable Florida statutes and local requirements. <br> Responsibilities: • Coordinate executive calendars, schedule council and committee meetings, and organize logistics to support efficient public and internal sessions. • Prepare meeting agendas, compile supporting materials, record official proceedings, and produce accurate minutes for town leadership, boards, and committees. • Maintain and safeguard official records, ensuring documents are properly filed, retained, and accessible in accordance with legal and regulatory standards. • Respond to public records inquiries and provide courteous service to residents, staff, and external stakeholders while following established government procedures. • Support election-related administrative activities and public notice preparation to help meet statutory deadlines and transparency requirements. • Track board and committee appointments, assist with onboarding and training coordination, and monitor related documentation for compliance purposes. • Arrange travel and manage executive meeting logistics, including itineraries, reservations, and supporting materials for leadership as needed. • Serve as a backup to the Town Clerk when assigned, helping sustain continuity in clerical and administrative operations.
• Bachelor’s degree in Public Administration, Business Administration, Records Management, or a related field.<br>• At least three years of experience in records administration, office support, customer service, or similar detail-focused work.<br>• Florida Notary Public certification, or the ability to obtain it within a reasonable timeframe.<br>• Valid driver’s license.<br>• Demonstrated ability to manage calendars, coordinate meetings, and handle travel arrangements for executive-level activities.<br>• Working knowledge of records retention practices, public meeting support, and administrative procedures within a structured office environment.<br>• Experience in municipal government or familiarity with Florida elections, public records practices, or local government operations is preferred.<br>• Certified Municipal Clerk credential is a plus.
