Workplace Experience Coordinator
We are looking for a Workplace Experience Coordinator to support a detail-oriented and welcoming office environment in Hanover, Maryland. This Long-term Contract position is expected to run for 8 months and offers the opportunity to shape day-to-day workplace operations, enhance the employee and visitor experience, and coordinate programs that keep the site running smoothly. The person in this role will balance front desk presence, vendor coordination, event support, and administrative oversight while working closely with cross-functional partners across the office.<br><br>Responsibilities:<br>• Create a positive and organized on-site experience for employees, guests, and visitors by serving as a key point of coordination for workplace needs.<br>• Oversee daily office support services such as mail distribution, office supplies, print and copy resources, storage areas, janitorial coordination, and shared amenities.<br>• Administer the in-office food and beverage program by maintaining variety, monitoring quality, and managing costs responsibly.<br>• Coordinate external service providers and on-site contractors, offering direction as needed and confirming that agreed service levels are consistently met.<br>• Plan and deliver workplace events and employee engagement activities based on site feedback, business needs, and participation goals.<br>• Manage event logistics from start to finish, including room setups, catering arrangements, communications, and post-event follow-up.<br>• Track operating expenses for assigned budgets, prepare recurring expense reports, and help maintain vendor accountability through accurate documentation.<br>• Work in partnership with facilities, security, health and safety, real estate, and space planning contacts to support compliance, seating changes, and efficient use of the office.<br>• Identify workplace issues affecting comfort, functionality, or presentation and coordinate with facility partners to help maintain a productive environment.<br>• Support multiple administrative and operational priorities independently while communicating updates, concerns, and recommendations clearly to stakeholders.
• At least 2 years of experience in workplace coordination, front desk support, office administration, or a similar setting.<br>• Strong comfort level with technology and the ability to quickly learn new systems, online tools, and workplace platforms.<br>• Hands-on proficiency with Google Workspace, Microsoft Excel, and other common productivity applications.<br>• Excellent organizational skills with close attention to detail and the ability to manage competing tasks effectively.<br>• Clear written and verbal communication skills, along with strong interpersonal abilities for working with employees, guests, vendors, and internal partners.<br>• Ability to work independently, take ownership of responsibilities, and contribute collaboratively in a team-oriented environment.<br>• Capable of lifting and moving items weighing up to 20 to 30 pounds on an occasional basis.<br>• Previous experience in office management or broader administrative operations is considered a plus.
