Executive Assistant
We are looking for an experienced Executive Assistant to provide comprehensive administrative support to senior leadership and the Board of Directors. This contract position is based in Cambridge, Ontario, and offers a hybrid work arrangement with regular in-person presence required. The ideal candidate will play a key role in facilitating smooth operations, ensuring effective communication, and maintaining confidentiality while handling sensitive information.<br><br>Responsibilities:<br>• Coordinate and prepare agendas, distribute materials, and manage logistics for Board, Committee, and Senior Leadership meetings.<br>• Record and draft minutes for meetings, ensuring accuracy and timely delivery.<br>• Manage schedules for senior leaders, optimizing their time and prioritizing tasks effectively.<br>• Serve as a liaison between the Board and senior leadership to ensure timely delivery of essential materials.<br>• Support various administrative projects and tasks, providing assistance to the organization and Board as needed.<br>• Maintain confidentiality and professionalism during interactions with senior leaders and Board members.<br>• Organize travel arrangements, expense reporting, and other administrative duties as required.<br>• Assist with document preparation, including photocopying, scanning, and formatting.<br>• Coordinate communication and follow-ups related to meetings and other organizational priorities.<br>• Travel within the region to support Board-level work, ensuring all logistics are well-planned.
• Minimum of 5 years of experience as an Executive Assistant, preferably supporting C-suite executives and Boards.<br>• Strong organizational skills with a keen attention to detail and ability to manage multiple tasks under pressure.<br>• Excellent interpersonal and communication abilities, capable of building positive relationships with stakeholders.<br>• Proficiency in Microsoft Office Suite, Adobe Acrobat, and virtual communication tools such as Zoom and Teams.<br>• Proven ability to maintain confidentiality and handle sensitive information with discretion.<br>• Self-motivated and proactive, demonstrating initiative in managing priorities and completing tasks.<br>• Familiarity with meeting arrangements, calendar management, and travel coordination.<br>• Ability to arrange transportation for regional travel, as public transit may not be accessible for all locations.
