Administrative Assistant
We are looking for a highly organized and detail-focused Administrative Assistant to join our team on a contract basis in North York, Ontario. In this role, you will provide essential administrative support, maintain accurate records, and ensure smooth coordination between departments. This is an excellent opportunity for someone with strong multitasking abilities and a keen eye for accuracy.<br><br>Responsibilities:<br>• Organize and maintain both physical and digital filing systems for invoices, receipts, and other financial documents.<br>• Perform general administrative tasks such as data entry, photocopying, scanning, and scheduling appointments.<br>• Prepare and update spreadsheets, daily sales summaries, and financial reports.<br>• Track budgets and expenses while assisting with audits and financial reviews.<br>• Communicate with internal departments to coordinate billing, collections, and refunds.<br>• Liaise with vendors, customers, and stakeholders to address and resolve payment discrepancies.<br>• Support the implementation of document retention policies and archiving procedures.<br>• Assist with finance-related projects and contribute to improving administrative workflows.<br>• Respond to inbound calls, emails, and other correspondence in a thorough and attentive manner.<br>• Schedule and manage appointments to optimize team efficiency.
• Minimum of 1–2 years of experience in an administrative or accounting support role.<br>• Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.<br>• Strong organizational skills with the ability to manage multiple tasks and deadlines.<br>• Excellent attention to detail and accuracy in all tasks.<br>• Effective verbal and written communication skills.<br>• Ability to work both independently and collaboratively in a fast-paced environment.<br>• Experience with customer service, including handling inbound and outbound calls.<br>• Familiarity with data entry and email correspondence processes.
